AI voice receptionist with booking and reminders

We built this workflow for a business that takes appointments over the phone. An AI voice agent on Vapi handles the call, and when the call ends n8n takes over: it logs the call, works out whether the caller wanted to book, and if so creates the calendar event, records the booking, emails a confirmation and updates the CRM. A second flow checks upcoming appointments every hour and sends reminders.

Project brief

Deliverables

  • Vapi end-of-call webhook and master call log sheet
  • Niche router for hotel, dental, aesthetic and event calls
  • Transcript parser for booking intent and caller details
  • Calendar event, bookings sheet row and confirmation email
  • HubSpot contact upsert with a call note
  • Hourly reminder flow with a sent flag per booking

The challenge

Phone bookings usually depend on someone picking up, writing the details down and then copying them into a calendar, a spreadsheet and a CRM. Calls outside office hours go to voicemail, details get mistyped, and reminder calls are easy to forget, which leads to missed appointments.

Our approach

Vapi sends an end-of-call webhook to n8n. The workflow pulls out the event data, keeps only finished calls, extracts the call summary and transcript, and appends them to a master call log in Google Sheets. A switch routes each call by business niche (hotel, dental, aesthetic or event), and a Code node scans the transcript for booking intent and picks out the caller's name, phone, email, preferred date and time. When a booking is found, n8n creates a Google Calendar event, adds a row to the confirmed bookings sheet, sends a Gmail confirmation with the calendar link, creates or updates the contact in HubSpot and attaches a note with the call details, then responds to Vapi. Calls without a booking get their own response. A scheduled flow runs every hour, reads the bookings sheet, loops through the rows and emails a reminder for any appointment starting within the next 24 hours that has not had one yet, then marks the row as sent.

The outcome

Every completed call is now logged, and booking calls turn into a calendar event, a sheet row, a HubSpot contact with notes and a confirmation email without anyone retyping details. Reminders go out on their own ahead of each appointment, and the sheet records which ones were sent so nobody gets two.

How we did it

  1. Step 01

    Map the call flow

We agreed which call events matter, what a booking looks like in a transcript and where each detail should end up.

  2. Step 02

    Build the booking path

We connected the Vapi webhook to the call log, niche router, booking parser, calendar, bookings sheet, Gmail and HubSpot.

  3. Step 03

    Add the reminder loop

We added an hourly schedule that reads the bookings sheet and emails reminders for appointments due within 24 hours.

  4. Step 04

    Test with sample calls

We ran test calls through each branch to check the extracted details, the calendar event and the reminder timing.

Why this project matters

A voice agent only helps if what the caller says reaches the systems the team already uses. This build closes that gap and covers the reminder step that usually gets skipped.

Questions about this project

Can it book into a CRM other than HubSpot?

Yes. HubSpot holds contacts and call notes here, but that step can write to any CRM with an API, and the calendar and sheet steps can be swapped the same way.

Can you build something similar for my business?

Yes. We adapt the workflow to your phone setup, calendar, CRM and booking rules. After a short call we give you a fixed quote.
