AI outbound calling for new web leads
We built this outbound calling workflow for a service business whose enquiries arrive through a web form at all hours. n8n receives each submission, cleans the phone number, logs the lead and asks a VAPI voice agent to call the prospect straight away. The workflow then follows the call until it ends and records what happened.

The work
How the automation works

1.The n8n workflow: webhook intake, phone check, VAPI call, polling loop and outcome logging.
2.Intake close-up: field mapping, number cleanup and the branch that sends bad numbers to a cleanup sheet.
3.Call tracking close-up: call details are polled until the call ends, then routed to the completed or voicemail log.
Project brief
Deliverables
- Webhook intake with field mapping
- Phone number normalization and validation step
- Cleanup sheet for unusable numbers
- VAPI outbound call request with call ID tracking
- Polling loop that waits until the call has ended
- Outcome routing with write-back to the lead row
The challenge
Enquiries waited in an inbox until someone had time to pick up the phone. Leads that arrived in the evening, at the weekend or during a busy campaign were called back hours later, often after they had already spoken to another provider. Numbers were typed in different formats, so some dial attempts failed without anyone noticing, and there was no single view of which leads had actually been reached.
Our approach
A webhook receives the form submission and an Edit Fields step maps the name, phone number, service interest and notes. A JavaScript step strips spacing and normalizes the number to international format, and an IF node checks whether it is usable. Unusable numbers are appended to a separate cleanup sheet instead of being dialed. Valid leads go to VAPI, which places a qualifying call within seconds, and the workflow saves the call ID. It then waits and polls the call record in a loop until the call has really ended. A Switch node routes the result, so answered and qualified, answered but not a fit, voicemail and no answer each take their own path, and the outcome and qualification details are written back to the lead row in the Google Sheets log.
The outcome
Every enquiry now gets a call while the prospect is still thinking about the service, day or night, without anyone sitting on a dialer. Bad numbers are caught before they cost a call, and the team opens one sheet to see which leads were reached, which were qualified, which went to voicemail and which did not pick up.

How we did it
Step 01
Map the lead flow
We traced how enquiries arrived and what the sales team needed to know after each call.
Step 02
Clean the data
We added number normalization and a cleanup branch so only dialable numbers reach the voice agent.
Step 03
Tune the agent
We configured the VAPI agent's script, voice, transcriber and interruption handling so calls sound like a discovery conversation, not a robocall.
Step 04
Close the loop
We built the polling loop and outcome routing, then tested answered, voicemail and no-answer cases end to end.

Why this project matters
Interest fades quickly after someone fills in a form. Calling within seconds, and knowing exactly how each call ended, gives the sales team a fair shot at every lead.
Questions about this project
Can the agent use our own call script and questions?
Yes. The VAPI agent's prompt, voice and qualification questions are set up for your offer, and the answers it collects are the ones written back to the lead record. We can log to your CRM instead of Google Sheets if you prefer.
Can you build something similar for my business?
Yes. We adapt the workflow to the tools and process you already use, and we give you a fixed quote after a short call about what you need.
